Introduction

House of Academia (“we,” “our,” or “the School”) is committed to protecting the privacy and confidentiality of students, families, staff, and website visitors. This Privacy Policy explains what personal information we collect, how we use and share it, the legal protections that apply, and the choices and rights available to parents, guardians, and eligible students.

This policy applies to information collected in-person, through our website (houseofacademia.com), by phone or mail, and through electronic systems and services used by the School.

Why we collect information

We collect personal and educational information to:

    • Provide educational, therapeutic, and health services;
    • Maintain student records required for individualized education programs (IEPs) and progress monitoring;
    • Communicate with families, staff, and service providers;
    • Meet legal and regulatory requirements; and
    • Operate and improve our website and services.

Types of information we collect

We collect and maintain categories of information including:

A. Identifying information

Name, home address, telephone, email, date of birth, emergency contact details, guardian information.

B. Educational records

IEPs and related special-education documentation, assessments, attendance records, progress reports, academic history and individualized goals.

C. Health and medical information

Allergies, medications, health plans, therapy notes, evaluations, and other health-related records necessary to provide safe care. (Some health records may be subject to HIPAA; see Section 6.)

D. Sensitive information

When required for programming (e.g., assessment results, behavioral data), we collect sensitive educational and health data that is necessary to serve each student.

E. Website & technical data

IP address, browser type, device identifiers, cookies and similar technologies, pages visited, form submissions and analytics.

How we use personal information

We use information to:

    • Provide educational and therapeutic services and to create, implement and evaluate IEPs and service plans;
    • Communicate with families, emergency contacts, and third-party service providers engaged on behalf of the student;
    • Comply with legal obligations, accreditation, reporting, and funding requirements;
    • Operate, monitor, and secure our website and IT systems; and
    • For administrative purposes (billing, scheduling, staff assignments, internal audits).

When we share information

We do not sell personal information. We may disclose information to:

    • Parents/guardians and eligible students as provided under applicable law;
    • School staff and contractors with legitimate educational interest (teachers, therapists, aides);
    • Service providers and vendors who perform services on our behalf (e.g., cloud providers, billing processors); and
    • Governmental or regulatory authorities when required by law. 

Some disclosures of education records are permitted without parental consent under the Family Educational Rights and Privacy Act (FERPA) and related guidance; for example, to school officials with legitimate educational interests or in response to lawful subpoenas. FERPA, HIPAA and legal protections

FERPA generally protects the privacy of student education records in schools that receive federal funds and grants parents/eligible students specific rights (access, request amendment, and control over certain disclosures). Some student health information maintained by a school may be subject to FERPA rather than HIPAA; in some healthcare contexts outside school, HIPAA applies. We follow federal guidance on the interaction of FERPA and HIPAA and applicable state laws. Data security and retention

We maintain administrative, technical and physical safeguards designed to protect data from unauthorized access, disclosure, alteration, and destruction. Access to sensitive student and health records is strictly limited to authorized personnel who need access to perform their duties.

We retain records for the time periods required by law and for legitimate educational purposes. When records are no longer required, we securely destroy or de-identify them in accordance with School policy.

Cookies, tracking and third-party services

Our website uses cookies, analytics and third-party services (for example, form processors, payment providers, and analytics platforms). These third parties may collect technical information about visitors. We use such tools to analyze website usage, improve functionality, and process requests. You may control cookie preferences through your browser settings; however, disabling cookies may limit some website features.

Parents’ and students’ rights and choices

Parents or guardians (or eligible students where applicable) generally have the right to:

    • Inspect and review education records;
    • Request amendment of records they believe are inaccurate or misleading;
    • Provide or withhold consent for certain disclosures (except where law provides otherwise);
    • Request an accounting of disclosures of personally identifiable information from education records; and
    • Submit complaints regarding alleged failures to comply with FERPA.

Children’s online privacy (COPPA)

Our site is not intended to collect personal information from children under 13 outside the educational relationship. For online services directed to children under 13, we will comply with the Children’s Online Privacy Protection Act (COPPA) and any applicable state rules. Parents who believe their child’s information was collected online in violation of COPPA should contact us. (For K–12 education records, FERPA protections also apply.) Third-party links and services

Our website may link to third-party websites and services whose privacy practices we do not control. We encourage families to read the privacy policies of websites they visit.

Changes to this policy

We may update this Privacy Policy periodically to reflect changes in our practices or law. We will post the revised policy on our website with an updated “Effective Date.”
